AI Use and Transparency Notice

This notice explains how EdiWay uses AI-supported features across the platform.

1. Why We Use AI

EdiWay may offer AI-supported features to help schools, parents, and authorised users work more efficiently. These features may support drafting, summarisation, quick-fill assistance, translation, and report generation.

2. Types of AI-Supported Features

Depending on the enabled features and user permissions, AI-supported functions may include:

  • AI-assisted form quick-fill;
  • AI-assisted report drafting;
  • AI-assisted educational or support summaries;
  • AI-assisted parent document translation or plain-English explanation;
  • Other AI-supported content generation was enabled in the platform.

3. Data That May Be Processed Through AI Features

When an AI-supported feature is used, the system may process the text, record content, prompts, or uploaded document content needed to generate the requested output. Depending on the feature, this may include sensitive educational or support context.

4. Important Limits

AI outputs can be inaccurate, incomplete, biased, or unsuitable for a specific context. AI outputs must always be reviewed by an appropriate human user before they are relied on.

AI outputs do not replace:

  • professional educational judgment;
  • school safeguarding decisions;
  • medical or clinical judgment;
  • legal advice;
  • formal diagnosis or statutory decision-making.

5. AI and Children’s Data

Because EdiWay may involve children’s personal data and sensitive support records, AI-enabled features must be used carefully, proportionately, and with appropriate oversight.

6. School and User Control

AI features may depend on school-level settings, add-on entitlement, configured AI access, or available platform credits. Some AI features may be enabled only for certain roles or modules.

7. AI Credits and Usage Limits

Some AI features may be subject to school usage limits, platform usage limits, or paid credit rules. If your service model includes free AI allowances for parents or professionals, those limits should be described clearly in the final live version of this notice.

8. Human Responsibility

The person using the AI feature remains responsible for checking, editing, approving, and appropriately using the result.

9. Future Updates

As AI features expand, this notice should be updated to reflect new modules, new providers, new role access rules, and new safety controls.
