FREQUENTLY ASKED QUESTIONS

Your Questions, Answered.

Can external professionals use EdiWay?

Yes, where the relevant workflow is enabled and the professional has an authorised relationship to the learner or case.

Access is scoped to the work they are involved in. A professional should not automatically gain visibility of unrelated learners or unrelated parts of the learner record.

Can local-authority teams use EdiWay?

EdiWay’s organisation and case architecture can support local-authority participation within enabled workflows.

That can include areas such as learner status, professional collaboration, provider information, multi-agency casework and other authority-owned activity.

Specific statutory workflows may remain subject to product scope, legal configuration and assurance.

Can a local-authority user see every learner in a school?

No.

A job title, account or organisation membership does not automatically create learner-level access.

Access can depend on the learner, professional relationship, case, purpose, organisation, sensitivity and any active restrictions.

Does EdiWay integrate directly with local-authority systems?

No official local-authority system integration should be assumed.

A local-authority professional using EdiWay through an authorised relationship is different from a technical integration with the authority’s internal systems.

Any specific system-to-system integration must be separately implemented and assured before it is claimed.

Can professionals upload evidence?

Where enabled and appropriately authorised, professionals can contribute evidence relevant to the learner or case they are supporting.

That evidence remains attributable to its source rather than becoming anonymous or indistinguishable from school, family or learner evidence.

Can learner voice be included?

Yes.

Learner voice can form part of the evidence and review process where appropriate.

Visibility can be controlled where the information is sensitive.

Does messaging give a professional wider record access?

No.

Communication and record permissions are separate.

Being able to message an authorised participant does not automatically expand what that person can see elsewhere in EdiWay.

Can EdiWay replace professional judgement?

No.

EdiWay can organise evidence, casework and workflow.

Professional, safeguarding and statutory decisions remain with the appropriately authorised people and organisations.

What happens when a professional or provider relationship ends?

Access can end when the relevant relationship, case or placement ends.

Relevant evidence and case history can remain part of the governed learner record according to the applicable retention and access rules.

Can alternative provision providers contribute information?

Yes, where the provider has an authorised relationship and the relevant workflow is enabled.

Providers can contribute information such as delivery evidence, attendance or engagement records, reviews and other relevant evidence without becoming the master record for the learner.

Does a provider get access to the learner’s whole record?

No.

Provider access should be limited to the information required for the authorised placement, case or purpose.

Sensitive information and unrelated learner records remain separately controlled.

Does EdiWay support EOTAS?

Yes, within the documented product boundaries.

EdiWay can connect the learner, responsible organisation, provider relationships, delivery evidence, review activity and wider case context around an EOTAS pathway.

EdiWay does not make the statutory decision that EOTAS should apply.

Can EdiWay support multi-agency casework?

Yes.

Multi-agency casework can bring together authorised participants, meetings, evidence requests, evidence received, actions, owners, timelines, decisions and review activity around the same learner or case.

Can parents and carers contribute to the same case?

Yes, where the relevant learner relationship and workflow permit it.

Family evidence remains family-origin evidence and does not automatically become a professional or statutory conclusion.

Can professionals see safeguarding information?

Not automatically.

Safeguarding remains a separately governed and restricted domain.

Being involved with the learner or participating in a multi-agency case does not itself create access to complete safeguarding chronology.

Can EdiWay share only specific information with a provider or professional?

Yes, where the relevant sharing workflow is enabled.

EdiWay’s direction supports purpose-specific sharing so an authorised participant can receive the information required for their work without being given unrestricted access to the learner’s wider history.

Can AI make decisions about EOTAS, safeguarding or statutory eligibility?

No.

AI may assist authorised users with appropriate information work, such as drafting or summarising, but it must not independently make consequential professional or statutory decisions.

How do we get started?

Begin by identifying the learner journey or professional workflow you need to support.

From there, EdiWay can be explored through Professional Collaboration, Multi-Agency Casework, Alternative Provision, EOTAS and the wider Trust & Governance pages.
