Each stage can be configured for the school’s process; a five-stage funnel is a workflow model, not a legal certification.
Applicants receive a separate experience for maintaining their profile, applying for jobs, completing assigned assessment tasks, joining interviews and receiving decisions. They should never receive access to the school’s learners, safeguarding records, staff files or internal reports. This separation matters when a school is recruiting for sensitive roles or using external panel members.
Once an applicant is approved, the Careers plugin can connect the recruitment outcome to a staff record. The HR side can then support onboarding, employment information, staff documents, leave, payroll records, time tracking, shifts, training and CPD, performance reviews, workload, absence, TOIL, disciplinary records, SCR, DBS evidence and NQT/ECT induction. Each area still requires its own permissions and retention decisions.
Recruitment and HR also connect to the safeguarding platform. Schools can record relevant training, check dates, role information, review actions and responsible people. The platform should not imply that a record exists simply because a module is enabled. Identity, references, DBS, barred-list, Section 128, prohibition, right-to-work and qualification checks must be captured according to the role and the school’s process, then reviewed by the responsible people.

When an applicant is approved, selected information may be converted into a linked staff record to reduce duplicate data entry. The conversion should retain identity and provenance, exclude irrelevant application material and require a human decision. A recruitment workflow is not a promise that every statutory check, reference or government connection has completed.
HR can support staff profiles, employment context, onboarding, leave, payroll records, training, CPD, time tracking, shifts, performance reviews, SCR, disciplinary records, absence, TOIL, NQT or ECT induction, workload and staff attendance. Each domain needs its own role permissions, retention rules and responsible reviewer. Teachers should not receive payroll or disciplinary access simply because they have a staff account.
Schools remain responsible for safer recruitment policy, checks, references, identity, right to work, DBS-related processes, prohibition and other role-specific requirements.
